Safe Online Billing Limited (the "Company", "we", "us") is a company registered in England and Wales, number 05423587. Our registered office is at Communications House, 290 Moston Lane, Manchester M40 9WB. Our working team is based in the East Midlands.

What this notice covers

This notice explains how we handle personal data collected through our website at billingplatform.uk. It is a brochure site. We use it to tell people about the SAFE Billing Platform and to answer enquiries.

If you are a customer using the SAFE Billing Platform, the handling of data inside the platform (including your customers' call records and account details) is governed by the Data Processing Addendum attached to your signed Agreement for Services. That Addendum, not this page, is the binding document for platform data. A copy is available on request.

What we collect from this website

We collect a small amount of personal data, and only when you choose to give it to us:

  • Enquiries through the contact form. Your name, email address, phone number (if you provide one), and the message you send. Submissions are delivered to us by FormSubmit, which acts as our form-handling processor.
  • Direct emails and calls. Anything you choose to send to [email protected] or say on the phone.
  • Server and edge logs. Our site is hosted on Cloudflare Pages. Cloudflare records standard access information such as IP address, user agent, request path, and timestamp for security and abuse prevention.

We do not use advertising trackers. We do not use Google Analytics. We do not set marketing cookies. The site does not show a cookie banner because it does not need one.

Lawful basis (UK GDPR)

  • Legitimate interest. We rely on legitimate interest to reply to your enquiries and to keep basic security logs of our hosting.
  • Contract performance. Once you become a customer, we process your data to carry out the services set out in our Agreement.
  • Legal obligation. We keep accounting and tax records as required by UK law.

How long we keep it

  • Enquiries that do not lead to a contract: up to 24 months, then deleted.
  • Customer records: for the life of the contract, plus the period required for UK accounting and tax rules (currently six years).
  • Hosting logs: retained by Cloudflare according to their standard retention, typically a matter of days to weeks.

Who we share it with

We share personal data only with the providers we need to run the website and reply to you:

  • Cloudflare — website hosting, CDN, and security.
  • FormSubmit — delivery of contact form submissions to our inbox.
  • Our email provider — so we can read and reply to your email.

We do not sell your data. We do not share it for marketing purposes.

International transfers

Cloudflare operates a global edge network, which means requests to our site can be served from the nearest Cloudflare data centre. Transfers outside the UK are covered by the UK Government's adequacy decisions or Standard Contractual Clauses where required.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct data that is wrong.
  • Ask us to delete your data, where we are not required to keep it.
  • Ask us to restrict or object to our processing.
  • Ask for your data in a portable format.
  • Complain to the Information Commissioner's Office at ico.org.uk.
